Quick answer
Workday is the dominant ATS among large enterprises — Amazon, Target, Bank of America, and thousands of Fortune 500 companies use it. Submit a single-column PDF or DOCX with standard headings (Experience, Education, Skills). Avoid two-column layouts, headers/footers with contact info, and image-based PDFs. Workday extracts text sequentially; formatting that looks fine to humans often breaks parsing.
URL patterns to identify Workday
Before tailoring your resume, confirm the employer uses Workday. Common URL patterns include:
*.wd1.myworkdayjobs.com/**.wd3.myworkdayjobs.com/**.wd5.myworkdayjobs.com/**.myworkdaysite.com/*careers.[company].comwith Workday footer branding and "Sign In" using Workday credentials
The application UI typically shows "Create Account" or "Sign In" with Workday's purple branding. Job listings often display requisition IDs like JR-123456. Use the ATS URL identifier below to paste a career page link and confirm the platform.
Workday Recruiting (the employer-facing module) differs from Workday HCM (HRIS). Candidates interact with Workday Recruiting during applications. The parsing engine is shared across Workday tenants but configured per employer.
Preferred file format
Workday accepts PDF, DOCX, DOC, RTF, and TXT. In practice:
- DOCX (recommended):Native Word format gives Workday's parser direct access to text structure. Headings, bullet lists, and dates extract cleanly when using built-in styles.
- PDF (acceptable):Works well when exported from Word or Google Docs with "Save as PDF" — not from Canva, InDesign, or Photoshop. Avoid scanned PDFs entirely.
- Avoid: PNG/JPG resume images, password-protected PDFs, and multi-layer PDFs from design software.
After upload, Workday populates your candidate profile fields (name, email, work history) from the parsed resume. If fields are empty or wrong, the parser failed — reformat and re-upload before completing the application. See our ATS resume format guide for template recommendations.
Workday parsing quirks
Workday uses a rules-based parser with OCR fallback for image PDFs. Key behaviors that surprise applicants:
- Sequential reading: The parser reads document flow order, not visual layout. A sidebar with skills next to experience may interleave skill keywords into job descriptions.
- Date format sensitivity:Workday expects MM/YYYY or Month YYYY patterns. "2020–Present" usually works; "20-Present" or date ranges in tables often fail to bind to the correct employer entry.
- Section header recognition:Uses a dictionary of standard headings. Creative headers like "Where I've Made Impact" instead of "Experience" may not trigger work history extraction — the text still parses but lands in an unstructured blob.
- Bullet character encoding:Custom bullet symbols (→, ✓, ★) sometimes convert to garbage characters. Use standard round bullets or hyphens from Word's list formatting.
- Hyperlinks: LinkedIn URLs in contact sections usually extract. Multiple links per line can confuse field mapping.
- Profile auto-fill vs. stored resume: Workday saves parsed data to your candidate profile. A bad first upload persists — update your profile manually or re-upload a clean version.
Common Workday resume failures
These formatting choices cause the most Workday parsing failures in our 2026 ATS study:
- Two-column layouts (34% failure rate): Canva, Novoresume, and similar templates put contact info and skills in a left column. Workday merges columns unpredictably.
- Tables for layout (28%): Invisible tables to align dates and titles break when cells are read out of order.
- Header/footer contact blocks (22%): Name and phone in Word headers often do not extract to profile fields.
- Graphics and icons (19%): Skill bars, star ratings, and logo icons are ignored or produce OCR noise.
- Text boxes (17%): Summary statements in floating text boxes may appear at the end of the document instead of the top.
Symptom checklist: If Workday auto-fill shows your most recent job title as your name, places education under skills, or leaves work history blank — your layout failed parsing. Do not proceed with the application until you fix the format.
Optimization steps for Workday
Follow this checklist before uploading to any Workday career portal:
- Switch to single-column layout. Contact info at top, then summary, experience, education, skills — all full-width.
- Use standard section headings. Experience, Education, Skills, Certifications. Match terminology from the job description where truthful.
- Export DOCX or clean PDF. From Word or Google Docs only. Test by copying all text into Notepad — if it reads logically top-to-bottom, Workday will too.
- Mirror JD keywords. Paste the Workday job description into a checker and add missing hard skills and tools to your skills section and bullet points.
- Verify auto-fill after upload. Check every Workday profile field. Manually correct misparsed entries.
- Complete all required fields. Workday applications often include knockout screening questions. Answer honestly — false "Yes" responses to work authorization or clearance questions trigger automatic rejection.
- Re-scan before each application. Tailor keywords to each requisition. Workday stores your profile but recruiters evaluate against the specific JR posting.
Run a job-specific scan with the requisition's description to catch keyword gaps in about 60 seconds. ATSChecker parses locally in your browser — useful when applying to a current employer discreetly.
Enterprise hiring context
Workday employers typically receive hundreds of applications per requisition. Initial screening may combine automated keyword rules, knockout questions, and recruiter triage. Large companies often configure years-of-experience minimums and required certification fields that auto-filter candidates before a human reads anything.
Referrals and internal transfers sometimes bypass standard screening queues in Workday — but your resume still parses into the system for record-keeping. A clean parse ensures recruiters see accurate history when they open your profile.
Compare Workday with other platforms: Taleo (Oracle, common at legacy enterprises), Greenhouse (tech startups), and SuccessFactors (SAP, global corporations).
Frequently asked questions
Workday accepts PDF and DOCX. DOCX generally parses more reliably because text extraction is direct. PDFs exported from design tools or with embedded fonts may scramble section order. Use a single-column, text-based PDF from Word or Google Docs.
